AI Automation ROI & Savings Calculator

Model the bot, the human handoff and the real cost of both.

Your support workload

Keep the humans in the model.

Example assumptions, not performance benchmarks. Coverage is the share of all tickets attempted by the bot; resolution is the share of those attempts resolved without a human. Bot cost applies to every attempt, including escalations.

How savings and break-even work

What does the hybrid model include?

Current cost = tickets x current human minutes / 60 x hourly cost. Hybrid cost = untouched tickets x current human cost + escalated tickets x escalation human cost + bot attempts x AI cost + monthly platform cost. Escalation time should include rework and handoff overhead.

How are payback and break-even calculated?

Annual savings = (current monthly cost - hybrid monthly cost) x 12. First-year savings subtract implementation cost once. Payback = setup cost / positive monthly savings, using fractional months. With no positive operating savings, there is no payback. Operating break-even = monthly platform cost / per-ticket savings, rounded up. It excludes setup recovery; payback covers that separately. First-year ROI = first-year savings / (setup + 12 months of bot and platform costs) x 100. With zero automation investment, ROI is undefined.

Are these guaranteed cash savings?

No. Saved labor represents capacity unless staffing or spending actually changes. The model assumes steady volume and immediate full deployment for twelve months; it excludes ramp-up, demand growth, severance, quality changes and revenue effects. Negative values indicate additional costs or human effort. Fractional ticket counts represent expected averages.

Practical guide

What this tool helps you decide

This AI automation ROI calculator helps support teams compare a human-only workflow with a hybrid chatbot and human escalation model. It estimates the value of reduced handling time after bot usage, ongoing platform costs and implementation costs.

Use it when scoping customer support automation, an AI help desk or a chatbot pilot. It is most useful when you have actual ticket counts and handling times rather than a vendor claim about automation rates.

How to use the AI automation ROI calculator

  1. Measure your current support workload

Enter monthly tickets, average human handling time and fully loaded hourly cost. Include the cost of salaries, benefits and support overhead in the hourly figure.

  2. Separate bot coverage from resolution

Coverage is the share of all tickets routed to the bot. Resolution is the share of bot attempts completed without a human. A bot that attempts 60% of tickets and resolves 75% of those attempts handles 45% of the total without escalation.

  3. Budget for the human handoff

Enter the human time needed after an escalation, including context review and rework. Add AI cost per bot attempt, monthly platform and maintenance costs, and one-time setup cost.

  4. Compare savings, payback and volume

Read annual operating savings separately from first-year savings after setup. Test a lower resolution rate or longer escalation time before deciding whether a pilot is economical.

Worked example

Consider 1,000 tickets per month, six human minutes per ticket and a $20 hourly labor cost. The bot attempts 60% of tickets and resolves 75% of those attempts. Escalations take eight human minutes, AI costs $0.10 per attempt, platform costs are $100 per month and setup costs $2,000.

Current monthly labor cost
$2,000.00
Hybrid monthly operating cost
$1,360.00
Monthly operating savings
$640.00
Annual operating savings
$7,680.00
Setup payback
3.13 months

How to interpret your results

Annual operating savings show the recurring difference between the two workflows. Payback estimates how long positive monthly savings take to recover setup cost. A result can be positive even when the first year does not recover the initial investment; check both figures.

Common input mistakes to avoid

  • Use resolution rates from a representative ticket sample, including difficult cases.
  • Do not count all attempted tickets as successfully automated.
  • Treat hours freed as capacity unless you can actually reduce spending or use that time productively.

Questions before you use the results

Can this model a chatbot that only handles FAQs?

Yes. Set coverage to the portion of tickets that match the FAQ use case. Keep uncovered tickets in the human workflow and enter a resolution rate measured on those FAQ attempts.

What if my bot makes escalations slower?

Enter the longer escalation time. The calculator charges that human time to every unresolved bot attempt, so poor handoffs can reduce savings or make the hybrid model more expensive.

Should I automate every support ticket?

This model does not require full coverage. Compare a limited, reliable use case with a broader one, and consider quality, customer experience and escalation requirements alongside cost.
